SPS automated email invoice integration results in significant improvements

In June 2023, Sponsored Programs Services (SPS) and Modernization launched a new integration that automatically generates emails with attached invoices to eligible sponsors. Since its launch, the integration has greatly reduced administrative burden for SPS staff and improved invoicing processes for grants at WSU.

Between July 1, 2023, and January 31, 2024, a total of 1,910 invoices were emailed automatically using the new integration. This accounts for 55% of all sponsor invoices sent by SPS, with an estimated time saving of 3-10 minutes per invoice.

The integration also provides SPS an increased ability to document emails sent to sponsors, visibility as to how and when emails are delivered, as well as the ability to access distribution information quickly and easily using Workday.

This month, Modernization Lead Grants Analyst Christine Galbreath and SPS Director Elizabeth Jinks, along with speakers from the Georgia Institute of Technology, will co-present at the NCURA Financial Research Administration Conference about ways they are using Workday systems to support post-award research administration. Their presentation will highlight this, and several other key ways SPS and Modernization’s collaborations have improved grants administration at WSU.
