The future of receivables

When WSU transitions to Workday in January 2021, receivables will go through some changes. This article will review current processes, as well as what you can expect for the future of receivables, receipting, and grant billing.

Current process

  • Customer and student receivables are processed in myWSU.
  • University departments record all cash sales, as well as collections of cash or checks, on official or approved WSU forms or cash registers.
  • Ecommerce and Point of Sale activities are posted to AIS.

Integrations

For integrations, myWSU connects with Workday to ensure consistent information is shared, while also automating workflow. For example, summarized accounting information will be transferred to Workday from myWSU regularly.

Heading into the future

General accounts receivables will continue to be performed in myWSU, while grants billing and receipting functions will be moved to Workday.

University departments will continue to record cash sales, as well as collect cash and checks. Employees will then use Workday instead of approved WSU forms to record this information.

All of these cash and check payments will need to be provided to the Bursar’s Office, like they are currently. After the sale, a PDF print-out will include the completed business process.

Now for depositing, the Bursar’s Office is also responsible for creating customer deposits. Workday will tie the recorded cash sales to the deposits performed by the Bursar’s Office.
