When to complete the W-4 for new hires

New hires must wait until their official hire date to be able to complete the form W-4 in Workday.

If a new hire attempts to complete tax withholding elections prior to their official hire date in Workday, they will be unable to select “Washington State University” as the company and complete the task. To avoid this error, new hires are advised to wait to complete this task until on or after their official hire date.

On or after their hire date, new employees can follow the instructions in the guides below to complete federal, state, and local withholding elections in Workday:

Please also note that the federal, state, and local withholding elections must be completed in Workday prior to pay complete for the elections to take affect in the employee’ first pay period. If the elections are not entered prior to pay complete the elections will not take affect until the following pay period.

Additional reference guides and helpful resources for new employees can be found on the Workday for New and Current Employees page on the Modernization website.
