New Absence Calendar experience coming in May

In May 2024, we’re launching several major enhancements to the Absence Calendar in Workday that will make the way employees request and manage their absence quicker, easier, and more transparent.

These updates will change the look and feel of several key Absence pages and tasks, which will impact all employees who request time off or leave of absence in Workday, including Classified, Administrative Professional, Faculty, and hourly staff.

If you request and manage time off on behalf of employees, you can also view this video in Percipio to learn more about how these changes will impact your role, as well as how to perform certain tasks for roles such as HR Partner using the new functionality.

The new Absence experience will take effect in Workday May 4, and includes the following key features:

  • Changes to the names of some Absence calendars and applications.
    • The “Absence” application will become “Manage Absence” in the Apps menu on the Workday Home page.
      • For more information about the Your Top Apps section, and how to add apps to your main menu in Workday, review the Tools and Navigation reference guide.
    • The current Absence Calendar will become the “Manage Absence Calendar.”
  • Updates to the ways employees perform tasks related to requesting and reviewing absence in the Manage Absence Calendar.
    • Employees will now use the “Request Absence” pop up task when requesting time off or leave from the Manage Absence Calendar.
    • Employees can simply select their time off or leave from the Manage Absence Calendar to view the status and who it is awaiting action by.
  • A new Request Absence pop-up task allowing users to request time off without having to leave the current page or task they are working on in Workday.
  • Changes to the look and feel of the Manage Absence calendar, including:
    •  The shift of the View Balances as of Date field to the right side of the calendar.
    • A new “Requests” tab on the right side of the calendar that displays employees’ past and upcoming Time Offs, and their statuses.
  • The ability to request an absence from the Enter Time calendar, using the “Actions” tab.
  • Improved experience for employees who enter time off or absence on behalf of employees with the new “Switch Worker” feature.

These enhancements provide employees with simpler and faster methods for requesting time off in Workday. They’ll also make it easier to access time off balances and status in multiple locations, helping employees gain a clear and comprehensive understanding of their absence information.

When these changes launch, we’ll also provide updated reference guides in the Workday Knowledge Base with detailed guidance on how to use each new feature and task.

We will continue to provide information and updates about the new Absence experience in the Workday Digest and on the Modernization website as we get closer to launch. We’ll also reach out directly with key updates to those who perform Absence tasks for their employees or departments, such as HR Partners, Timekeepers, Time Approvers, and Managers.
