Changes to the recruiting process improve efficiency

HRS has made a variety of system and practice changes to the recruiting process to promote efficiency, improve the candidate experience, reduce handoffs, and increase primary recruiters’ control.

The following changes are now in effect:

  • Evergreen Requisitions will no longer be required for AP and CS positions
  • The Primary Recruiter will have access to applicants immediately with no required “release” from HRS to review and monitor pool size
  • The Primary Recruiter will be able to move candidates to the interview stage without additional hand off/approval from HRS
  • The Primary Recruiter will have the ability to update posting end dates for extension, or repost after the JR/ER has unposted

Moving forward, recruiters should use Job Requisitions for the majority of recruitments when only one hire is needed.

Evergreen Requisitions (ER) should be used when hiring multiple people. When using an ER, be aware that the ER will need to be closed by primary recruiter.

The number of handoffs will be reduced by:

  • Candidates being immediately visible without release from HRS
  • Removal of Request for Interview steps
  • Job posting capabilities enhancements

HRS has also improved practice changes with the process updates:

  • Limiting “Open Until Filled” positions
  • Critical review of Additional Requirements
  • Reducing offer letter error rate
  • Position location:
    • Position location field removed from job posting
    • Additional Position locations field removed from JR/ER
    • Improved focus on Primary and Additional Job Posting Locations
      • Job Posting Locations are displayed to candidates on the job posting, and can be used for filtering on the WSU Jobs webpage
      • External job sites pull the first location and will also pick up the words “remote” and “hybrid”
  • Cleanup of information posted to candidates, such as Available Titles and Job Families

The following support and training resources are available to help users understand these process and system changes:

  • Reference guides updated in Workday Knowledge Base
  • Updated HRS online resources
  • Recruiting training sessions available in Percipio
  • Courses in Percipio accessible under Optional Compliance training:
    • WSU HRS – Preparing for a Successful Search
    • WSU HRS – Minimum Qualifications Review
    • WSU HRS – Addressing Unconscious Bias in Recruitment

These changes are the first in a series of improvements to system and process efficiencies. HRS will continue to update the community as more changes go into effect.
