January 2018 Update

Contract Negotiations with Workday

After a competitive and thorough procurement process, WSU named Workday as the apparent successful software vendor. WSU will be joining a large number of universities who use or are implementing Workday to support their core finance, payroll and human services activities, including: Cornell University, Arizona State University, Louisiana State University, Brown, Carnegie Mellon University, Nevada State Higher Education System, Penn State,  University of Virginia, The Texas A&M University System, University of Miami, University of Rochester, University of Southern California, University of Texas at Austin, University of Washington, and Yale.

WSU and Workday have begun early contract discussions.

RFP for Strategic Integration partner released

On January 12, 2018 WSU issued an RFP to identify a strategic integration partner to help implement Workday across the University. We look forward to broad involvement from the University community throughout this process, including interviews with the finalist scheduled the week of March 19, 2018. These interviews will be made available to faculty and staff via live stream.  Please save the date; additional details about these opportunities will be shared in the coming weeks.

Strategic Integrator Evaluation Team

The University Strategic Integrator Evaluation Team has been formed. This team will be tasked with reading and evaluating each proposal received and actively participating in all phases of proposal evaluation, including the on-site interviews, to ensure a consistent scoring basis and fair evaluation process. This team represents stakeholders on campuses, colleges and units across the University and includes the following individuals: Mike Corwin, Fran Hermanson, Mollie Holt, Craig Howard, Chris Johnson, Chris Jones, Jennifer Klein, Michelle Martinez, Joy Morton, Lisa Neal, Dan Nordquist, Matt Skinner, and Terresa Watson; with Eric Rogers serving as the WSU RFP Coordinator.

Preparing the University for Change

As we continue our preparations to modernize the way we serve the University with finance and human resource services and systems, we recognize that great software is only part of the solution. Peers and colleagues have consistently advised that we prepare for change early and often. Recent studies find that at least 50% of an initiative’s success depends on the community’s willingness to adapt and engagement level. These best practices ring especially true here at WSU, as many of our core operational processes and procedures have been in place for decades and the change ahead will be both energizing and revolutionary!

With this in mind, we’ve selected Prosci to provide training on their proven model to help the University prepare for change. The Modernization team is coordinating with Prosci to offer two change management training sessions Monday, March 5, 2018, on the Pullman campus – one for executive leadership and another supervisors and managers. The managers and supervisors session will be held at 1:00 pm the CUB Junior Ballroom. To register for this session, please visit: http://ihr.hrs.wsu.edu/skillsoft/default.aspx?c=ilt_wsu_PD_1174.

Please note: this session will be available to all WSU employees via live stream on the Experience.WSU website.

Reminder

As a reminder, over the next few months the vendor community may become active in seeking insights and opinions from WSU employees regarding the initiative. To help avoid any confusion, delays, or process issues created by miscommunication, we request that all inquiries associated with the Modernization Initiative and the services RFP, whether formal or informal, be referred to Eric Rogers, Director of Purchasing Services, who will route the inquiry appropriately.
