Change Job and Compensation templates
In May 2025, we implemented changes to Hire and Change Job, introducing templates and consolidated processes. This first phase focused on streamlining a few of the most highly performed HCM processes. Modernization is now moving forward with the next phase of templates, following the release of Compensation templates by Workday.
Beginning in late July, Modernization will implement the following updates, introducing Compensation templates, as well as additional change job templates.
The next phase of Change Job template updates
The first set of Change Job templates focused on Renewal, Location Change, and Supervisory Organization Change. This year, we focused on specific needs for different employee types. These include:
- End Date Only Change: as there are different field requirements for Faculty, Grads, and all other employee types, we’ve created different templates to ensure those employee type-specific fields are available when needed but not shown otherwise. For example: Annual Work Period and Disbursement Plan Period are required fields for Faculty, but are not needed for other employee types.
- FTE Change: Scheduled Weekly Hours will be available to change. Job Profile will also be available in the event the FTE change results in a change to overtime eligibility.
- Temporary Upgrade: this template will be available for Classified Staff and Administrative Professional positions and will require the Assignment Type be added for Temporary Upgrade Adds, and removed for Temporary Upgrade Returns.
- Additional changes: We’ve created different templates for different employee types to help minimize the number of Reasons user must choose from. For example: Separation from Faculty/Staff will be available in the CS/AP/Faculty templates, but not in Student/Grad templates.
- Some Reasons will be inactivated or limited. Please continue to refer to the Change Job Reasons and Descriptions RG for additional information about what reasons there are and when they should be used.
Introducing Compensation templates
Compensation templates work differently than Change Job templates. Instead of the template itself driving the Reasons and Fields displayed, in Compensation templates, Reason drives the template. Because of this, it is not possible to minimize the number of Reasons displayed based on different employee types.
Initially, all Reasons will be displayed. When a Reason is selected, the template will then change. Please be aware that if you have made updates to an employee’s Compensation, then change the Reason for the action, you may lose access to fields you have previously made edits to. Please be sure you have selected the appropriate Reason before making any changes.
Relevant reference guides will be updated in concurrence with these changes.
