New templates and updates to Hire and Change Job processes
As of Tuesday, May 27, the following changes to the Hire and Change Job processes in Workday are in effect:
Hire
- Organizational Assignments and Compensation are now consolidated into the initiation for Hire.
Change Job
- Use “Start Job Change” to initiate any Change Job action.
- Descriptive text populates when making a selection in the “What do you want to do?” field, identifying what users may do and the reasons available within that template.
- Some reasons have been inactivated, created, or limited. Employees should use the Change Job Reasons and Descriptions RG to identify what has changed and what should be used in place of inactivated reasons.
- Organizational Assignments and Compensation are now consolidated into the initiation for certain Change Jobs. Depending on the change, some tasks will trigger later in the process as needed.
- A series of new templates help make highly performed processes as quick and easy as possible. These include:
- End Date Only Change (Renewal/Direct Hire Extension): End Employment Date and Actual End Date fields are available to be changed.
- Please note the following significant change to how renewals and extensions function: In the past, the renewal/extension effective date for an assignment ending 12/31/2025 would typically be entered as 1/1/2026. With the new process, this will cause a $0 compensation amount, as according to this effective date, the compensation would have already been removed from the employee. Moving forward, renewals and extensions must be processed using the date the old assignment ends. For example: For an assignment ending 12/31/2025, the same date of 12/31/25 is used as the effective date. This will ensure compensation remains active with no issues, while the new End Employment Date and Actual End Date may be updated as required.
- Location Only Change: The Location and Work Space fields are available to be changed. Compensation will trigger separately if the change potentially impacts compensation.
- Supervisory Org Only Change: The Supervisory Organization, Manager, Location, and Work Space fields are available to be changed. Compensation will trigger separately if the change potentially impacts compensation.
- Reclassification (Reclassification and Reclass – CS Higher Step): This template is only accessible to HRS to prevent HR Partners from accidentally accessing incorrect business processes.
- Contingent Worker Changes: This template only displays fields applicable for contingent workers.
- All Other Change Jobs: This template contains all other Change Job Reasons not used above and all fields are open within this template. The Change Job template work in Phase 2 will largely focus on the reasons in this template.
