Known Issue: Object Class missing when award setup is not approved

Known Issue: Current Workday functionality causes expenses posted to grants prior to completion of Award setup to lack Object Class worktags.

Estimated Time to Resolution: Unknown. Workday has been notified of this limitation but have not yet offered a solution.

Details: When expenses are charged to a Grant worktag prior to the completion of the Award setup process (including approval, if applicable), the transactions are charged without an Object Class worktag. The Object Class worktag is required to determine F&A eligibility, and is used in grouping and filtering various expense detail reports in Workday. While a workaround exists to correct F&A amounts, there is currently no way to add missing object class worktags after the fact, other than via manual journals. For this reason, validations have been put in place to prevent expenses being charged to Grants whose Awards are not fully set up yet. The error message will appear as below:

Page Error notification: “Grant: Award Status is not approved. Grant entered has Award Status that is not approved. To Resolve Error: Contact Sponsored Program Services to Review Award Status.”

To prevent this error, please wait to charge expenses to the Grant until it is fully set up. Contact Sponsored Programs for status updates on in-progress setups.
