Prepare for Fall hiring by reviewing I-9 changes and new hiring resources

Ahead of Fall hiring, departments are encouraged to review critical updates to I-9 processing, as well as new resources for the Hire process.

Changes to I-9 processing

Effective July 21, 2025, all I-9s must be processed in Workday. This change promotes a seamless hiring experience and supports data accuracy by consolidating the I-9 process into a single system.

Lookout, the former system for processing external I-9s, is now unavailable. Exceptions for Lookout use will be made for new international employees who do not have a social security number or a receipt for application.

A new Workday security role, I-9 Coordinator, has been created for those who receive the Complete Form I-9 task in their Workday My Tasks inbox. Those receiving the I-9 Coordinator role have been notified.

Please note: not all HR Partners have been assigned the role of I-9 Coordinator. Those with questions regarding security role assignments should reach out to their area’s Security Partner.

New reference guide: “I want to hire someone, what do I need to know?”

This new reference guide gathers information currently available across a variety of Workday resources, making it accessible from a single page in the Workday Knowledge Base.

Information in this consolidated resource includes helpful information about initiating and routing hiring processes, roles involved, timelines, key considerations and information regarding the strategic pause. It also includes links to relevant resources, and flowcharts to visualize the recruiting and hire process.
