Changes to student employment and State Work Study
As of August 1, several key changes regarding student employment are in effect.
Background
In January 2025, new student job profiles were introduced to streamline student classification and compensation. Departments were encouraged to begin using these titles on all new hires and renewals as the historical student titles would be phased out by July 31, 2025.
Changes to student job profiles
Effective August 1, 2025, the following student job profiles are no longer available for use:
- Clerical Worker
- Service Worker
- Skilled Trades Worker
- Technical Assistant
- Lecturer
- Preceptor
For students currently assigned to these job profiles, departments must:
- Create a new student position, and
- Initiate a “Change Job” action to transfer the student to the new position
If the student is no longer working, the department should:
- End the job, and
- Close the position
The updated Student Classification and Compensation Plan is available on the HRS website.
Changes to State Work-Study (SWS) compensation
Assigning State Work-Study (SWS) grades has been simplified.
Departments now only need to know the compensation range for the comparable Civil Service title codeto assign the correct SWS hourly base pay.
The compensation grade assignment is determined by reviewing the State Title Code Equivalent (a custom object) on the worker’s position restriction.
Key updates:
- New SWS ranges begin with “SWS Student – R034” and increase accordingly.
- The applicable SWS compensation ranges for WSU have been added.
- The “Assigning Work-Study” reference guide has been updated.
What’s new in the process:
When assigning compensation to a student, an analytic drop down will display the comparable State Title Code Equivalent and corresponding pay range (e custom object) during the “Request Compensation Change” action.
