New Custom Object for Gifts

After receiving feedback from the Gifts workgroup, we’ve added a new Custom Object for Gifts, called Associated Pooled Gift ID, to better assist departmental users and Development Officers with their gift management practices.

In Workday, the new “Associated Pooled Gift ID” custom object can be found on a Gift under Additional Data/Gift Attributes. For historical and future gift records, when Associated Gifts are available, the same Endowed (Pooled) Gift ID on both the Endowed Gift and Associated CU Spendable will be visible, so users may easily sort from reports and see Associated Pooled Gift ID. 

This Custom Object has been added as a new column in the following reports:

  • CR GFT Gift Summary
  • CR GFT Spendable Summary
  • CR GFT Gift Metadata

TIP:  To easily locate Associated Pooled Gift ID, run one of the reports listed above (excluding programs from the report variables) and download to Excel.  On the “Home” tab, select the column labeled “Associated Pooled Gift ID,” then “Conditional Formatting/Highlight Cells Rules,” where you may select and highlight cells containing duplicate values.

With the column title row set to “Data/Filter,” navigate to the column “Associated Pooled Gift ID.” Then, find the filter, select the drop down arrow, and select filter by color (selecting the color used for duplicate values.)

You will then be able to view gifts both showing the same Endowed (Pooled) gift ID beside each other in the report.

In the case shown above, the Endowed (Pooled) Gift ID is GF006922 and is referenced both on the Endowment GF006922 and on the related CU Gift GF006923.

If there is no associated current use spendable, only the Pooled Gift ID in this field will be visible.
