Search/Match ID Keys and Service Indicators on Hire events
During a Hire event, HR Partners receive a 32-digit Search/Match ID Key that is added to an employee’s myWSU profile. The purpose of this “Key” is to connect a myWSU profile with a Hire event in Workday, and transfer the employee’s 9-digit WSU ID from myWSU to Workday.
What you should know:
- Every active employee and contingent worker needs a WEM Service Indicator (WEM EMPL for employees; WEM CONT for contingent workers). If already on a worker’s myWSU profile, they do not need to be altered or replaced for a new Hire event.
- Before you start a Hire, always search for the person in Workday by entering their 9-digit WSU ID into the Workday search bar and hitting “Enter.” If a Worker record (Active or Terminated) is returned, their WSU ID is already established in Workday, and you do not need to copy and paste a new 32-digit Search/Match ID Key into a new or existing WEM Service Indicator. You will still need to verify that the person has the correct WEM Service Indicator in myWSU, but a new Key is not needed.
- If you have multiple hires in progress, use caution when copying and pasting a 32-digit Search/Match ID Key from Workday to the correct profile in myWSU. Pasting the incorrect Search/Match ID Key will result in the WSU ID and personal information for the wrong person to populate into Workday. If this happens, please contact Modernization immediately.
- At the ‘Verify Proposed Employee ID’ step, make sure that the correct WSU ID is populated before advancing the Hire process. If you try to advance the process without a WSU ID, you will receive a warning. This will not prevent you from moving the process forward, but doing so may make the Hire process take longer.
