Time calendar lock alerts updated

Time Entry Calendars may be locked for several reasons throughout the month, including payroll processing. During these periods, employees who attempt to enter or edit time may receive a Workday alert notifying them that their Time Entry Calendar is unavailable.

We have updated these alerts to provide clearer guidance regarding different lockout periods, as well as steps for employees who may need to enter or update their Time Entry Calendars during a lockout.

Review the updated alerts below:

  • Time entry status locked for future period:
    • Date is currently locked and is not available for time entry. The Time Entry Calendar for future pay periods opens 1 day prior to the beginning of the period. For example, if the pay period is from July 1 to July 15, employees can begin entering time for that period starting on June 30. You may still enter anticipated Time Off through the Absence Calendar via the “Request Absence” task.
  • Time entry status locked for Payroll:
    • Date is currently locked and is not available for time entry. Time entry for the pay period that payroll is calculating locks for a period of time when payroll is running and will re-open for retroactive changes shortly. Please see the Workday Payroll Document Schedule for dates when the time entry calendar closes and opens again for each pay period. You may still enter Time Off for this pay period through the Absence Calendar via the “Request Absence” task.
  • Time entry status “Closed”:
    • “Date” is closed and is no longer available for time entry. Please submit a Workday Service Desk ticket if you need to enter, submit, or correct time during this locked period. You may still enter Time Off for this pay period through the Absence Calendar via the “Request Absence” task.
