New Function Worktag project in progress

We’ve recently kicked off a project to improve the usage of the Function worktag in Workday. These efforts aim to provide better definitions, consolidate the number of functions in active use, and simplify transactional coding and reporting outcomes.

The Function worktag is used in Workday to classify expenses according to their underlying purpose, such as instruction, research, or public service. The project will involve multiple phases as the team targets different groupings of Function by their underlying classification.

The first phase of the project focuses on research functions. There are currently four functions used to classify research expenditures, FN013-15 and FN017. After discussion with various stakeholders the decision has been made to consolidate two Functions, as well as retire two.

These updates are as follows:

  • FN013 will be retitled to “Non-Sponsored Research” and used for programs associated with research.
  • FN017 will be retitled to “Sponsored Research” and will continue to be used for grants.
  • FN014 and FN015 will be marked as do not use (DNU) and will be phased out of active usage.
    • Please note: This will be a phased retirement process. Existing accounts using FN014 and FN015 will continue to operate as normal for the time being, though they should be updated through the exercise below to begin using FN013.
    • New programs created should use FN013 to identify research. Requests for FN014 or FN015 will be prompted to change to FN013.

Area Finance Officers are currently performing a mapping exercise to identify programs that need to be updated to FN013. This exercise is focused on programs associated with startups, F&A returns and salary savings incorrectly classified at setup, or those needing moved from FN014 or FN015. This exercise will run through May 22, with program updates being made in Workday shortly thereafter. The project team aims for setup to be ready for full usage beginning in FY27.

Following the research portion of the project, focus will shift to other functions for a similar cleanup and consolidation.
