Four upcoming enhancements to HCM processes

This coming semester, Modernization and HRS plan to implement the following enhancements to a variety of HCM processes:

Assignments

HRS is currently working on adding a new field, Assignment Type, to Change Job and Add Job. This will be used for assignments such as temporary upgrades and interim assignments, along with end dates, for better tracking and reporting.

With this new field, a new report will be available: CR HCM Assignment Type. The report will provide a list of employees who have a relevant assignment with their expected end date, and will be open to HR Partners.

In preparation for switching on the new field, Modernization and HRS are pre-assigning those who currently have a relevant assignment, such as temporary upgrade or interim assignment. The field is expected to be launched later this Fall. Alerts are also expected after the field has been launched, to let HR Partners know when end dates are upcoming and need to be checked.

Recruitment/Hire Process Changes

Due to a change in Washington State requirements, all recruitments and hires regardless of funding type will follow the same Hire process as Federal Grant/Contract Funded positions.

The new process, which is expected to take effect during Fall semester, will be:

  1. Completion of Sexual Misconduct Statement
  2. Contingent offer made
  3. Completion of background check
  4. Final offer made

Along with the implementation of these changes in Workday, the Manage Job Application reference guide and Workday BGC & SMS Workflow Guides for Staff and Faculty will be updated.

Concurrently, the Federal Grant/Contract Funded organization field found on change organization assignments will be inactivated.

I-9 alerts

Later in the month of August, new alerts will be implemented for I-9 coordinators and employees when an I-9 is overdue. 

HRS-only message templates

To assist in layoff list notification processes, new templates are now available for HRS use only. These are used by Human Resource Services to send to layoff candidates. Please do not use any templates titled “HRS ONLY.”
