To ensure accurate reporting for 2021 fiscal year end, there are a number of reports departments can run to make sure time, leave, and absence activities are properly recorded. Below are guidance and tips about available reports. Here are the deadlines:
  • 9 a.m. on 6/30/2021: Retro time and leave from 12/16/2020 to 6/15/2021 must be submitted and approved.
  • 5 p.m. on 7/2/2021: Time and leave from 6/15/2021 to 6/30/2021 must be submitted and approved.

With fiscal year end quickly approaching, we wanted to bring to the departments attention the following dates and reports to run before fiscal year end to ensure accurate financial reporting with time and absence.

Dates to be aware of:

  • Retro time and leave from 12/16/2020 to 6/15/2021 must be submitted and approved by 9am on 6/30/2021.
  • Current time and leave from 6/15/2021 to 6/30/2021 must be submitted and approved by 5pm on 7/2/2021.

Reports to run before fiscal year end:

CR TTK Workers With No Time Entered

Description of Report:

  • This report will show OT eligible and hourly employees that have not entered time in the period the report is run for an organization.
  • This means that it automatically excludes employees that are OT ineligible.

When to Run the Report:

  • Run this report every pay period to ensure that all OT eligible employees have entered their time correctly.
  • Run this report before AKA PEARS to make sure employees have tracked time if they are OT eligible.

Notes:

  • This report only shows employees who have not entered time between the “Start Date” and “End Date”. For example, if the report is pulled for the whole month of May, employees appearing in the report have not tracked any time in May. In other words, Jane Doe would not appear on the report even if they only partially completed the time report for May.

Action Required:

  • Before fiscal year end, run the report to verify OT eligible employees entered time for each month since launch of Workday (Dec 16th, 2020).
    • Pull report for each month. The report includes those employees who were overtime eligible as of the “End Date” entered. Do not run the report for all months at once as it will include employees who switched from overtime ineligible to overtime eligible during that time period.
  • When pulling this report, if you find an employee listed, please reach out to the department to have the employee enter, submit, and get their time approved.

 

CR TTK Workers with Time Not Submitted or Approved

Description of Report:

  • This report will show all employees in an organization that have entered time but that time was not submitted by the employee. It also will show time submitted by the employee that has not been approved by the Time Approver.

When to Run the Report:

  • Run this report every pay period to ensure that all employees are paid correctly.

Notes:

  • This report should return no data if all time has been submitted and approved.

Action Required:

  • Before fiscal year end, run this report with a start date of Dec 16th, 2020.
  • If you find an employee that appears on the not submitted or not approved list, have the employee review and submit their time or have the manager go to their inbox to approve the submitted time.

 

CR ABS Time Offs for HR Partners

Description of Report:

  • This report returns all time off for a supervisory org in the period the report is run for.

When to Run the Report:

  • Run this report every pay period to ensure that all employees are paid correctly.

Notes:

  • Filter by status and include the following statuses:
    • Submitted (meaning not approved), Not Submitted, Never Submitted, Sent Back”

Action Required:

  • Before fiscal year end, run this report from Dec 16th, 2020 to fiscal year end.
  • If you find an employee that appears on the not submitted or not approved list, have the employee review and submit their time off or have the manager go to their inbox to approve the submitted time off.
