As the end of the biennium approaches, it’s nearly time to pay out unused compensatory (comp) time. Here are more details about this process, along with reports you can run to find out comp time balances and accruals for your area.

Comp Time Payout – Biennium

Business Policies and Procedures Manual BPPM 60.59 requires that unused compensatory time must be paid in cash at the end of the biennium unless an exception is approved by the Appointing Authority.

Employees should liquidate any unused compensatory time by June 30, 2021. Compensatory time will not be automatically paid out at the end of the biennium. It is the responsibility of the department to ensure all compensatory time has been used or paid out by June 30, 2021.

An Appointing Authority may authorize exceptions to the above end-of-biennium cash out requirement. The approval must be documented in writing and indicate a specific date by which the compensatory time must be liquidated. This date must be within four months of the end of the biennium. The written approval of exception must be submitted to Human Resource Services for placement in the employee personnel file.

If the individual does not use the compensatory time by the end of the extension, the compensatory time extended must be paid in cash within 30 days of the end of the extended period by using the “Compensatory Time Payout” time off noted in the Reference Guide.

Payment of compensatory time will be charged against the operating budget of the department in which the staff member is employed. Cash payment of accrued compensatory time will be processed through Payroll Services. To submit compensatory time payout, use the Comp Time Payout Reference Guide. Once the compensatory time payout is approved by Manager and then the Cost Center Manager, it will be processed for payment by Payroll Services.

Reports to run for comp time accruals and balances

To find out the comp time accruals and balances for employees within your area, you can run the following reports in Workday:

  • Time Off Results Summary
  • Time Off Results Details

These reports will show both balances and accruals for all types of time off by worker.

Two important notes

  • These reports will only show employees within the manager’s supervisory organization and its subordinate supervisory organizations.
  • HR Partners can also run these reports for the supervisory organizations to which they’re assigned.
