APRIL 2018 UPDATE
Strategic Integration Partner- Deloitte
Earlier this month, WSU completed a competitive RFP process for a strategic integration partner to help implement Workday across the university. We are pleased to announce that Deloitte has been selected as the apparent successful integration firm. The selection was reached through the evaluation of written proposals performed by the 13-member evaluation team, feedback from on-site interviews with the firms, reference checking with other institutions, and consultation with the Modernization Initiative Steering Committee.
Next Steps
Representatives from WSU, Workday and Deloitte will present at the Board of Regents retreat in June 2018. The presentation will include an executive overview of the project plan and approach. Once vetted, WSU will seek delegation from the Board to enter into contracts with both Workday and Deloitte.
Preparing the University for Change
WSU selected Prosci to provide training on their proven model to help the University prepare for change. The Modernization team coordinated with Prosci to offer change management training sessions on March 5, 2018, on the Pullman campus. A session for managers and supervisors was held in the CUB Junior Ballroom to a packed house of over 200 employees with many others across the institution joining via the live stream. In the future, change agents from each area will be identified to assist in this transformational initiative.
Current Projects
Chart of Accounts: We are starting our second phase of the Chart of Accounts project. Invitations have been sent to a small group of experts representing colleges, administrative units and auxiliary services to join the Chart of Accounts Workgroup. Next Steps: This group will develop the initial model to be delivered to our implementation partners when they arrive. All areas will have the chance to review and provide input once this model is complete.
Mapping our current state business processes: Business Analysts continue to work with WSU’s central business offices to document and map our current business processes. These maps will help educate our strategic integration partner on what we do and why we do it. These maps will not be used to replicate current state processes. WSU will take a “Workday first” approach to business processes. Next Steps: Business Analysts will be reaching out to areas to understand our current business processes from the area perspective.
Policy approvals- a look to our future state: In coming months, we will be working on harmonizing our policies and practices as we look to our “future state”. Business Analyst have already reviewed current policy and state and federal legal requirements and compared those against central business office practice. Next Steps: Business Analysts will engage department experts to understand unit practices and identify areas for policy change consideration or standardizing approvals.
Only found on paper: At WSU there are two critical pieces of information that are only stored on paper; organizational charts and employee leave balances. Functional and technical partners within the Modernization Initiative are working with area leaders on a new tool for collecting this information. Next Steps: Review and testing of the tool will begin in late April.
